Dominican Republic: obtain records from the correct chamber

The Registro Mercantil is administered by chambers of commerce. Start with the company’s registered location. The public online enquiry can validate an existing registration certificate. To obtain information or certified copies, identify the responsible chamber and the document required.

Choose the right register

Registro Mercantil means commercial register. Chambers register and retain company records and certify information filed with them. FEDOCÁMARAS, the federation of Dominican chambers of commerce, provides a chamber directory. It lists Santo Domingo and Provincia Santo Domingo separately. Do not confuse these two offices. [1] [2]

Fees depend on the chamber

Santo Domingo’s currently linked tariff states an effective date of 1 December 2022. It lists DOP 1,000 for Certificaciones, DOP 200 plus 2 per page for Copias registradas, DOP 800 plus 2 per page for Copias certificadas and DOP 1,000 for a duplicate Registro Mercantil certificate. The separate Santo Domingo Province chamber publishes DOP 500 plus 2 per page for certified copies. DOP denotes Dominican pesos. Do not apply one chamber’s fees to another. [4] [5]

Official digital issue and enquiry printouts differ

Section Décimo of the portal terms provides for official documents with digital signatures or on security paper. An ordinary online enquiry and its printout become an official certificate only through formal certification. [6]

Collection and contact

The Province chamber requires the original invoice for collection. If missing, it requires a stamped company-letterhead statement from the legal representative. Documents should be collected within 30 calendar days after the stated delivery date. The chamber is at Megacentro, Local 8B, Avenida San Vicente de Paúl at Carretera Mella, Santo Domingo Este. Contact contacto@camaraprovinciasantodomingo.do or +1 809 518 7890. For delivery abroad, agree on the arrangements with the chamber before ordering. [5]

Interpret negative certificates narrowly

Santo Domingo’s policies state that where a requested document is not registered, the chamber certifies that absence. Where a company is not registered there, it similarly certifies its absence from that chamber. This is not a countrywide clearance. Check the company’s location and responsible chamber first. [8] [2]

Avoid common mistakes

  • Santo Domingo and Santo Domingo Province have separate chambers. Similar names must not lead to applying the wrong fee. [2] [5] [4]
  • Select “Pasaporte” when opening an account with a passport. Also check the identity-verification requirements and access rules for the company file you need. [7] [6]
