Choose the right register
The Office of the Registrar of Companies (ORC) is the responsible registry. The Companies Act 2019 established the ORC and transferred company-registration functions from the Registrar-General’s Department (RGD). Older guidance and the search service’s domain still use the RGD name. Use the ORC for current procedures and charges. [1] [7] [3]
The free Name Search displays company names and business types. Entity Information Search is the separate service for investigating a particular entity. It can provide information such as status, officers and ownership. A name in the results is not a register extract and does not open a complete digital company file. [3] [4] [10]
Name field with four matching modes; results show names and business types.
Scope of the information you can request from the ORC about a particular entity.

Names and abbreviations explained
- ORC / RGDOffice of the Registrar of Companies / Registrar-General’s Department
- ORC is the current company-registry authority. RGD is the former responsible department; its name remains in some official web addresses. [7] [3]
- Ltd / PLC / LBGLimited / Public Limited Company / Limited by Guarantee
- Ltd indicates limited liability. A PLC is a public limited company, outside the private-company restrictions on invitations to the public to acquire shares or debentures. LBG members undertake to contribute up to a guaranteed amount; the company has no shares. [7] [9]
- Director / Company SecretaryBoard member / officer responsible for corporate formalities
- Directors form the governing board. The Company Secretary is responsible for matters including statutory registers, minutes and required filings. Neither role should be confused with being a shareholder. [7] [12]
- Annual ReturnAnnual register filing
- A dated record of the company’s particulars, such as its address, officers and ownership interests. Financial statements are separate financial documents. [7] [8] [12]
- CTCCertified True Copy
- A registry-certified copy of a filed document. A CTC is suitable for formal evidence in a way that the free list of names is not. [7] [8]
- ChargesRegistered security interests
- Security over company property, for example to secure a loan. In this search category, charges does not mean additional service fees. [7] [8]
- BO / PEPBeneficial Owner / Politically Exposed Person
- A BO is the natural person behind ultimate ownership or control. A PEP holds or has held a prominent public function; special reporting thresholds apply. [8]
- External CompanyForeign-incorporated company registered in Ghana
- A company incorporated abroad with an established place of business in Ghana. This is not a worldwide register of foreign companies. [15]
Search step by step
Identify a registered name
Enter the Business Name
Open the free name search. Enter the name or a distinctive part of it in Business Name. The public form does not require an account or Ghanaian identity document. [3]
Choose the matching mode
Exact Match compares the exact spelling. Starts With and Ends With compare the beginning or end of the name. Contains searches for the entered text within the name. Start with Contains if you are unsure of the full spelling. [3]
Wait for the results and record the name
Select Search and allow the table to populate. Record the full name and business type. The results table shows names and business types, without registration numbers or ownership information. [3]
Confirm the entity through the registry
Use the full name and, if already available, its registration number in the next request. The ORC FAQ expressly says that the free search is not comprehensive across the entire database. A formal register search is the next step for missing or ambiguous results. [9] [8]
Order information or a certified copy
Define the information required
Request a register search for status, registered office or officers. Specify shareholders or beneficial owners explicitly if needed. Use the separate search category for registered security interests and insolvency; these subjects are excluded from the standard GHS 30 search. [4] [5] [8]
Obtain the appropriate ORC form
Regulation 9 requires a Search Request Form. Regulation 8 requires a Certified True Copy Request Form for a certified copy. Use the official ORC contact and identify the company, the document required and, where relevant, the financial year. [8] [11]
Agree submission and delivery arrangements
The ORC identifies direct formal requests as the route to detailed information. Its notice of 26 March 2026 commits to a response within three working days. For an overseas order, agree the submission method, payment and document delivery with the ORC. The response period is not a promise of an instant online download. [10] [11]
Choose a CTC for formal evidence
Identify the certificate of incorporation, constitution or a specific filed return, for example. Section 375 of the Companies Act permits requests for registered documents or parts of them. Registry-certified copies and extracts have the same evidential validity as the original under that section. Disclosure remains subject to data-protection rules. [7] [8]

Jurisdiction and entity types
The ORC covers companies, registered business names and incorporated private partnerships. It also registers specified professional bodies. A company limited by shares has shares; a company limited by guarantee instead has members who undertake to contribute a guaranteed amount. This matters when researching ownership, because a guarantee company has no conventional list of shareholders. [1] [9]
For an External Company, you are researching the Ghanaian registration of a foreign-incorporated company. The file can include Forms 20 and 21 and constitutional documents from the home jurisdiction. Check the home register separately for the current legal position of the foreign company itself. [15]
Older entities may retain documents from the former register. The ORC describes a separate process for migrating entities registered before 5 December 2011 into the electronic database. Refer these cases to the registry if the public name check does not resolve the entity. [14] [9]
Overseas access and use without a Ghana Card
The public name search requires neither an account nor the Ghana Card, Ghana’s identity card. A complete search through to company names and business types worked without identity details. This applies to the free service; it does not automatically unlock other registry products. [3]
Section 375 of the Companies Act permits a person to inspect registered material or request copies for a fee, without specifying Ghanaian nationality as a condition. Regulation 5 provides for a foreigner’s passport number on documents requiring a signature under the Act. That is a signing rule, not a substitute for online-account requirements. [7] [8]
The free search form has no document checkout. To order without a Ghanaian user account, use a formal ORC request and agree acceptable identification and delivery with the registry. Use the official contacts rather than another person’s portal access. [3] [8] [10] [11]
Shareholders and beneficial owners
Shareholder records identify the immediate persons or companies holding interests. Beneficial owners are the natural persons who ultimately own, control or receive substantial economic benefits from the company. The regulations cover indirect interests and specific control rights; an intermediary company therefore does not end the ownership enquiry. [7] [8]
Regulation 44 of the Companies Regulations 2023 sets a 5% reporting threshold for companies not listed on a recognised stock exchange. A 5% threshold also applies to foreign politically exposed persons and companies in the high-risk category. For Ghanaian politically exposed persons, the provision covers any direct or indirect interest. The remaining cases have a 20% threshold. The Registrar can request information below specified thresholds. [8]
Public disclosure is narrower than the internal dataset: regulation 46 lists full and former names, the percentage interest and the politically exposed person declaration. Competent authorities have a separate, broader access route. Individuals facing a substantiated threat can apply for an exemption from public disclosure. [8]
The free name search does not disclose beneficial owners. Specify the publicly disclosable information in your formal request. The regulations provide for paid electronic access during business hours; this does not amount to free, unrestricted access to every personal field. [3] [8] [10]
Distinguish annual returns from financial statements
An Annual Return records the company’s particulars at a particular date. The full statutory return includes matters such as its address, directors, Company Secretary, members and ownership interests. Financial documents are separate attachments. For financial research, request the Financial Statement for a specific year and the accompanying auditor’s report. [7] [8] [12]
For public companies, section 323 lists the statement of financial position, comprehensive income, changes in equity and cash flows, together with directors’ and auditors’ reports. Private companies are subject to the alternatives in section 298. Regulation 25 requires an annual-return form and signed audited financial statements in the ordinary filing procedure. [7] [8]
Small and medium companies can have a different filing record: regulation 52 allows companies classified accordingly to confirm register particulars annually instead of filing the full return. Small companies also receive audit relief under regulation 53. [8]
The ORC includes financial statements within Entity Information Search. Request the version actually filed and check the reporting year and attachments. The free name search is not an accounts repository. The Companies Bulletin publishes statutory notices of registrations, changes and dissolutions. [3] [4] [13]
Tariff date and what each fee covers
The document table uses the 2026 schedule linked from the ORC’s current tariff page. Amounts are in Ghana cedis (GHS). The copy tariff for External Companies specifies a dollar equivalent. A register search, a certified document copy and a Bulletin edition are separate services. [5] [6]
The GHS 175 item for Filing of Annual Returns is the company’s fee for submitting its return. It is not the price for reading or downloading another company’s return. The GHS 30 copy item also does not promise delivery of the entire company file as one package. [5] [8]
Official samples and reading guides
Official blank specimen: Annual Return of a company with shares
The free English form illustrates address, capital, officers, shareholders and known beneficial owners. It contains no real company’s information. It is a filing template, not an issued register extract; its identity fields do not define the scope of public disclosure. [12] [8]
Avoid common mistakes
- A matching name proves neither current status nor a contact’s authority to represent the company. Obtain detailed information and, where necessary, the underlying filed document. [3] [4] [7]
- The GHS 30 search expressly excludes charges and insolvency. A standard search result must not be treated as clearance on those matters. [5]
- BO reporting thresholds and public disclosure are governed by regulations 44 and 46. Do not apply a blanket 10% threshold or assume that every identity field in a filing form will appear in a public response. [8]
- An older RGD document and a former name may concern the same company. Supply existing registration details and former names to the ORC if the current name check does not resolve the match. [7] [14]
Frequently asked questions
Can I search without a Ghana Card?
Yes. The free ORC name search works without identity details. Use the formal ORC request route for a detailed order. [3] [7] [8] [10]
Does the free name search show owners?
No. The free table shows company names and legal forms. Request shareholder and beneficial ownership details separately. Regulation 46 limits the beneficial ownership information available to the public. [3] [4] [8]
What should I order for official evidence?
Identify the relevant document and request a Certified True Copy (CTC). Section 375 of the Companies Act gives registry-certified copies or extracts the evidential validity of the original. The name list has no such certification. [3] [7] [8]
Do financial statements cost GHS 175?
GHS 175 is the 2026 annual-return filing fee, paid by the company making the return. For research, distinguish the register search from any certified copy of financial statements actually filed. [5] [7] [8]
Does Ghanaian registration replace the foreign company’s home register?
No. An External Company is a foreign-incorporated company with an established place of business in Ghana. The ORC records its Ghanaian registration and the documents filed for that purpose. Check the home register as well for the company’s current legal position. [15]
