Choose the right register
Section 386 of the published Companies Act 2012 generally permits any person to inspect documents held by the Registrar on payment of the prescribed fee. It also permits requests for an incorporation certificate or a Registrar-certified copy or extract. The published provision contains no general nationality restriction on that access. [3]
The free Validate your Business function is not a public search of other companies’ files. It requires an eServices account, selection of the applicant’s business and additional ownership and contact particulars. Do not submit a business-validation application merely to research a company. [1]

Search step by step
Research another company
Obtain registration particulars
Take the full company name and registration number from an existing incorporation certificate. Distinguish that number from the TIN. The tax portal itself requires valid Ministry of Justice registration before a business tax application. [4]
Specify inspection or copying
Address the request to the Registrar of Companies at the Ministry of Justice and Constitutional Affairs. Identify Section 386 of the Companies Act 2012, the company, registration number and precise certificate or filing required. Distinguish inspection from a certified copy needed as evidence. [3] [1]
Confirm the fee and delivery first
Obtain confirmation of the current fee, accepted payment method and issue format. For an overseas request, also establish whether a representative, collection or digital delivery is required or available. [3] [1] [2]
Documents and fees
| Document / information | Contents and purpose | Fee | How to get it |
|---|---|---|---|
| Certificate of Incorporation [3] | Official incorporation certificate. | Prescribed fee under Section 386; confirm the current amount. | Specific request to the Registrar using name and registration number. |
| Certified copy or extract of a filed document [3] | Copy or extract of the specified document, subject to statutory inspection restrictions. | A fee applies. Ask the registry for the current amount. | Refer expressly to Section 386 and request certification by the Registrar. |
Documents subject to restrictions
Section 386 imposes specific limits. A prospectus is open to inspection during the first 14 days after filing only with the Registrar’s permission. Inspection of certain receiver or manager statements is limited to a summary for outsiders, with exceptions for members and creditors. It would therefore be inaccurate to describe all files as public. [3]
Distinguish a foreign applicant’s account from third-party files
The government account entry provides for foreign visitors using a passport. Eligibility for the specific copy and its delivery must be established separately. [1]
Avoid common mistakes
- Request a company extract or file copy explicitly. A TIN certificate confirms the tax number and does not replace a company registry extract. [1] [4]
- The linked 2012 legislation describes access to registry information. Confirm the current ordering procedure and fees with the registry before placing an order. [3]
Frequently asked questions
Must I be a South Sudanese citizen?
Section 386 refers to any person. It does not impose a general citizenship condition on inspection or copies. Identification, representation, payment and delivery for a particular overseas request must be agreed with the Registrar. [3]
